stupid office 2003 question

I am a new user to office 2003. I am familiar with a few features. I am a first vice commander of an American Legion post. I have been delegated to prepare awards (ie: Certificates of appreciation, resolutions for death of members, etc.).These awards are preprinted and embossed that I would like to print to. I would like to know how to automate these forms in word 2003 ( fill in the blanks). I need to know how to regester the print properly in the blank spaces. Do I scan these docs and build a template. I really have no idea how to do this. This info would speed the process greatly.
